The Property View Request For Proposal (RFP) makes it easy for properties to enter the necessary information to participate in an event.
Authorization
The RFP starts with an introduction to the property, followed by the Authorization section, which clarifies that the person filling out the RFP is authorized to do so.
Event Overview
The Event Overview section provide's the property with general details about the event, which includes the following:
- Event Name
- Event Start Date
- Primary Venue Name and Address
- Type of Event and its history
- Contact details for the Event Administrator
- Total number of room nights requested for the event
Terms
The terms outline commissions and complimentary room requirements that the property must agree to if they wish to participate.
Room Type(s)
Properties must provide at least one room type, and that the rates for the room type(s) are the lowest group rates available for the event's date range to participate. Required fields will have a red asterisk in front of the label. All room type information is required. Properties have to enter room type description, block, and rates.
Additional Details
In the Additional Details section, the property enters property specific policies including:
- Block Release Date - The date that the room block will be released back to the property
- Minimum length of stay - The minimum number of required for a guest to stay at the property
- Taxes - Tax rate and additional charges
- Ancillary Fees - Any other fees that the guest will be required to pay
- Breakfast Included - Type of breakfast included if any
Cancellation Policy
The Property has to provide a standard cancellation policy or a custom cancellation policy.
Property Contacts
The Property Contacts sections require that the property provide the following:
- Primary Contact - The primary person at the property who the event admin can contact
- Reservations Contact - The person responsible for managing reservation through the rooming list application
Terms and Conditions
The property must read and agree to the event's custom terms and conditions before submitting the bid.
Authorized Signatory
Property enters name and title of who is submitting the RFP, any reference number for the request, and can specify a date the proposal will expire. The property will then be able to submit the bid for the event administrator to review.
